Connect Mamo to your accounting software to keep expense records accurate and up to date.
This guide is for accountants and finance managers who want to sync Mamo Card expenses from Mamo into their accounting system with minimal manual work.
Supported accounting platforms
Mamo accounting integration for expenses currently supports the following accounting platforms:
QuickBooks
Xero
Wafeq
Microsoft Dynamics
Zoho Books
Connect Mamo to your accounting software
Note: only users with expense admin permissions can connect or manage expense accounting integrations.
Steps:
From the main menu on the left, go to Accounting > Expense accounting
Find your preferred accounting platform and select Connect
You’ll be redirected to a new page where you can review and grant Mamo permission to access the data from the accounting platform
Log in to the accounting software through the secure authentication portal
If you have multiple organizations, select the one you want to connect with Mamo
After permissions are granted, you’ll be returned to Mamo where the integration status will show Connecting. Once data is fully retrieved, the status will change to Connected. This may take a few minutes.
If the connection fails, you’ll see an error message in your Dashboard. Chat to Support if the issue persists.
Once connected, Mamo automatically pulls your accounting structure and displays it in 4 separate tabs:
Payment accounts
Expense accounts
Vendors
Tax rates
These values are read directly from your accounting software and used during expense review and syncing.
Updating your accounting data
Upon initial connection, payment accounts, expense accounts, vendors, and tax rates are automatically extracted from your accounting platform to the Mamo Dashboard.
To sync any changes made on the accounting platform after that, follow these steps:
Go to Accounting > Expense accounting
Open the relevant tab (for example, Vendors)
Select Refresh
This updates Mamo with the latest data found on your accounting platform.
Reviewing and syncing expenses
Mamo automatically creates an expense for every successful Mamo Card transaction.
Each transaction appears in your Expenses section with one of the following statuses:
Incomplete: Expense requires details and evidence to be provided before it is reviewed.
Pending review: Expense is waiting to be reviewed by the responsible party (e.g., expense admin).
Ready: Expense has been reviewed and signed off by the responsible party.
Synced: Expense data has been successfully synced with the connected accounting platform.
Reviewing expenses before syncing
Cardholder steps
Employees who use Mamo Card can submit their expenses for review by following these steps:
From the main menu on the left, go to Expenses
Select the relevant Incomplete expense from the table
Add or update information in the following fields:
Category
Description
Receipt (file upload)
Mark the expense as Ready – this means it’s now ready for review.
The status will update to Pending review and shift down the list, as the expenses are grouped by their status.
Reviewer steps
Only users with the correct permissions such as expense admins can review and sync expenses. Follow these steps:
Open an expense with the status Pending review
Complete the following accounting fields:
Vendor
Expense account
Payment account
Tax code
Invoice number (optional)
Mark the expense as Ready – this means it’s ready to be synced.
The expense status will update to Ready
Syncing expenses to your accounting software
To sync a single or multiple expenses:
Select the checkbox to the left of the expenses you want to sync
A new menu will appear at the bottom of your screen. Select Sync expenses and confirm the action.
Once the sync is completed, you’ll get a notification on your dashboard, and the expense status will update to Synced.
Spending at a new vendor
If a Mamo Card is used with a vendor that does not yet exist in your accounting software, you must first create the vendor in your accounting platform before the expense can be synced.
To speed this up:
Download the vendor list from Mamo as a CSV
Bulk upload vendors into your accounting software
Once the vendor exists, refresh vendors in Mamo and continue syncing.
Permissions and security
When connecting an accounting integration, Mamo requests specific permissions needed to:
Read account structures
Create expenses
Attach receipts
Apply tax codes
These permissions are required for the integration to work correctly, and you cannot restrict or customize individual permissions during setup. If you do not approve the full set of permissions, the integration cannot be completed.
All connections use secure authentication and follow industry security standards.
